Privacy Policy

Zepi Match ("we", "us", "Zepi Match") helps job seekers in Australia find roles, generate application materials, and prepare for interviews through a web application and an optional Chrome browser extension. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have. We comply with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

01Information we collect

Account data: name, email, and authentication identifiers from Clerk when you sign up. Profile data: information you provide such as target roles, preferred locations, work history, education, skills, languages, visa status, and LinkedIn URL. Generated content: resumes, cover letters, coffee chat requests, and saved jobs you create using Zepi Match. Usage data: pages visited, features used, search queries, and basic device information collected to operate and improve the service.

02How we use your information

We use your information to: provide the matching, document generation, and research features you request; personalise your dashboard; respond to support enquiries; send service-related notifications; and improve and secure the platform. We do not sell your personal information.

03Third-party services

We rely on the following processors, each governed by their own privacy terms: Clerk (authentication), Supabase (database hosting), Anthropic (AI for document generation, match scoring, and research), OpenAI (embeddings for job matching), Adzuna and partner sources (job listings), Stripe (subscription billing), and Vercel (web hosting). We share only the minimum information needed to deliver the service.

04Zepi Match Chrome extension

If you install the Zepi Match Chrome extension and open its side panel on a supported job page, the extension reads publicly visible content from that single page (such as the job title, company, location, and description text) and sends it to our backend over HTTPS for AI analysis. The extension only activates when you explicitly open the side panel or click an Analyze action. It does not browse pages on your behalf, does not scrape search result lists, does not read your messages or private profile data, and does not run without your interaction. Job text sent from the extension is forwarded to Anthropic (AI) for scoring, cover-letter, and research features. Short-lived caches of the analysed job text may be retained on our servers for up to 48 hours to speed up repeat analysis. The extension stores your Zepi Match authentication token and the most recently analysed job payload in local Chrome storage on your device; this data never leaves your machine except to reach our backend. Zepi Match is an independent tool and is not affiliated with, endorsed by, or operated by LinkedIn, Seek, Indeed, or any other job board. You are responsible for complying with the terms of service of the job boards you use.

05Cookies and local storage

We use essential cookies and local storage for authentication sessions, language preference, and basic analytics. We do not use third-party advertising trackers. You can clear cookies in your browser at any time, although doing so may sign you out of Zepi Match.

06Data retention

We retain your account and profile data for as long as your account is active. If you delete your account, we will delete or anonymise your personal data within 30 days, except where we are required to retain limited records (for example, billing history) for legal or accounting purposes.

07Your rights

Under the Australian Privacy Principles you have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion, and export your data. You may also lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au if you believe we have mishandled your information. Contact us first and we will work with you to resolve any concerns.

08International data transfer

Some of our processors operate in the United States, the European Union, and other regions. By using Zepi Match you consent to your information being transferred and processed outside Australia, subject to safeguards consistent with the APPs.

09Security

We use TLS in transit, encryption at rest, role-based access controls, and regular dependency updates to protect your data. No system can be guaranteed completely secure, so please use a strong password and notify us if you suspect unauthorised access to your account.

10Children

Zepi Match is not directed to anyone under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

11Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or via a prominent notice in the app at least 30 days before they take effect. The "Last updated" date above always reflects the current version.
